How to Compress Large Files

Do you have large files? Do you want to send the quarter summary to your boss, but your email only lets a certain document size? Compression is for you, kind person. You can compress your files and make them much smaller, depending on the file types, using the zip format which is universally used and accepted. Ziped files can be opened on Windows XP and Vista without any extra tools.

If you are sending sensative documents around the web, basic security can be accompliished by compressing them using a tool like WinZIP that allows for password protected archives. This way the data itself  is very difficult for hackers to decode, however the end user will need the password to get to the files.

Steps (if you are running Vista)

  1. Right-click a file or folder with multiple files in it, point at Send To, then select Compressed (zipped) Folder.
  2. Windows Vista will compress (zip) the file or folder and save the new zipped file in the same place as the original file.

Steps (WinZIP for the power user)

  1. Download the Winzip application and install.
  2. Right-click the desktop and click new -> winzip folder.
  3. Drag and drop the file(s) into the new winzip folder.
  4. A lot of options might pop-up. All that you should choose is the compression, or zip size. Make it smaller, same, or really small.
  5. If you want, add a password on the bottom right by clicking on password.
  6. Then click add.

Warnings

  • These instructions do not work the same on Mac or Linux
